A great deal of work goes into the important task of creating new families by pairing children with loving, adoptive parents at homes such as The Baby House, which is currently a place of safety for orphans who may be adopted locally and internationally.
For The Baby House to effectively source and secure loving homes for these babies and toddlers, founder and CEO of The Baby House, Robin Fenn, and her caregivers were in need of a more effective way to efficiently keep thorough
personal records for each child.
These records include the condition in which children were taken into the orphanage, each child’s birth certificate, medical records, photos of the clothes they were adopted in, and any related information. Supporting information such as irregular sleep, eating and behaviour patterns for each child is also recorded, as are doctor’s appointments, with reminders for all upcoming paediatric visits.
In addition, The Baby House interacts daily with various stakeholders including staff, volunteers, board members, suppliers, sponsors and social workers, which translate into additional records, meeting notes and programme agendas having to be stored. Furthermore, staff information is also recorded, including contact information, CVs, payslips, leave forms and overtime.
To cut down on the amount of admin required to keep these records up to date, The Baby House switched to a paperless solution that was implemented by Microsoft Dynamics CRM, ERP & SharePoint solutions provider Resolve Immix , thereby liberating the organisation from its admin hassles and deliver more time for the caregivers to spend with the children under their care.
Resolve Immix implemented the application to The Baby House via a custom-designed customer relationship management (CRM) solution, which enables The Baby House to capture and update documents, while providing mobility to staff that capture records outside of their offices by using smart devices with an internet connection.
“Microsoft Dynamics CRM provides The Baby House with more flexibility when it comes to their processes,” says Nikki Isherwood, Microsoft Dynamics ERP & CRM sales and marketing director for Resolve Immix.
Beyond all these benefits, The Baby House also needs to raise funds through various events that help sustain the orphanage. Communication surrounding these fund-raising events arrangements is tracked within CRM, while bulk emails can be sent for marketing purposes and group updates.

More importantly, we all have significantly more time to spend on what’s truly important: quality time with our babies,” she says.
